Can Freelance Translators Deduct Certification and Software Costs?

Yes — certification exams, translation software, and other tools tied to your language services are deductible for independent translators and interpreters, as long as they're used for paid client work rather than personal language study.

Certification costs, like exam fees for a court or medical interpreter credential, are deductible business expenses because they're required or expected to land certain types of paid work. Translation memory software, terminology databases, and dictation or transcription tools used on client projects are ordinary business costs too, and most are deducted in full the year you pay for them.

If you work from a dedicated home office, that portion of your home may also qualify for the home office deduction, using either the simplified method ($5 per square foot, up to 300 square feet) or the regular method based on actual home expenses.

Other commonly deductible translator and interpreter expenses:

Certification exam fees and required continuing education

Translation software, terminology databases, and CAT tools

Professional association memberships

A portion of your internet and phone bill

Travel to in-person interpreting assignments

A common mistake: translators deduct general language-learning costs, like a personal course in a new language they haven't yet used for paid work, when the IRS treats those as personal education rather than a business expense until the skill is actually generating income.

BossTax's free app tracks software subscriptions and certification costs automatically, so your business expenses stay separate from personal language study.
