Can Freelance Bookkeepers Deduct Their Software Subscriptions?

Yes — accounting and bookkeeping software subscriptions used to serve clients are deductible business expenses for independent bookkeepers, along with most other tools you use to run a virtual or in-person practice.

Software like QuickBooks Online, Xero, or industry-specific add-ons are ordinary and necessary costs of doing bookkeeping work, so the full subscription cost is deductible as long as it's used for client work. If you also use a version of the software for personal budgeting, only the business-use portion is deductible, though most bookkeepers use separate accounts for clients versus personal use, which makes this simple to track.

Beyond software, a home office used regularly and exclusively for client work may also qualify for the home office deduction, using either the simplified method ($5 per square foot, up to 300 square feet) or the regular method based on actual home expenses.

Other commonly deductible bookkeeper expenses:

  • Bookkeeping and accounting software subscriptions

  • Professional certifications and continuing education

  • Professional liability insurance

  • A portion of your internet and phone bill

  • Marketing costs (website, directory listings, referral fees)

A common mistake: bookkeepers deduct software or subscriptions used for both client work and their own personal finances at full cost, when only the business-use portion is deductible if the tool isn't used exclusively for clients.

BossTax's free app tracks your software subscriptions and categorizes them automatically as they renew, so nothing gets missed at tax time.
